Either method satisfies the requirement, absent evidence that actual costs exceed the reimbursement.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">**For Cell Phone\/Internet:** Employers may use a reasonable percentage of actual costs OR provide a stipend that adequately covers business use OR reimburse actual documented expenses.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">**For Other Expenses:** Reimbursement must cover the actual costs incurred by the employee.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u23f0TIMING:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Reimbursements should be provided within a reasonable time period. While California law doesn&#8217;t specify exact timing, common practice is to reimburse within the same pay period or the next regular pay period following submission of expense documentation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\ud83c\udfe0 REMOTE WORK EXPENSES:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Employees working remotely may be entitled to reimbursement for:<br>\u2022 Internet costs (if remote work is required or necessary for the job)<br>\u2022 Cell phone costs for business use<br>\u2022 Home office equipment (if required for the job)<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">**Important:** Voluntary remote work where employees choose to work from home for their own convenience may not require reimbursement. Reimbursement is required when remote work is necessary to perform job duties or required by the employer.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\ud83d\udcdd EMPLOYEE RIGHTS:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Employees have the right to:<br>\u2022 Request reimbursement for all necessary business expenses<br>\u2022 Receive timely reimbursement<br>\u2022 Documentation of reimbursements received<br>\u2022 File wage claims for unreimbursed expenses<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u2696\ufe0fWHAT EMPLOYEES SHOULD KNOW:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u2022 Employers cannot require employees to bear work-related expenses<br>\u2022 &#8220;Cell phone allowances&#8221; that don&#8217;t cover actual business use may be insufficient<br>\u2022 Reimbursement rates below actual costs incurred may violate the law<br>\u2022 Employees can calculate actual vehicle costs instead of accepting mileage rates if actual costs are higher<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u2705BEST PRACTICES FOR EMPLOYEES:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\u25a1 Keep detailed records of business expenses<br>\u25a1 Submit expense reports promptly with required documentation<br>\u25a1 Track mileage with dates, destinations, and business purposes<br>\u25a1 Calculate your actual cell phone\/internet business use percentage<br>\u25a1 Save receipts for tools, equipment, and supplies purchased for work<br>\u25a1 Request clarification of your employer&#8217;s reimbursement policy<br>\u25a1 Document all unreimbursed business expenses<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">\ud83d\udca1 VEHICLE MILEAGE EXAMPLE:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you drive your personal vehicle 500 miles per month for work, at the 2026 IRS rate of 72.5 cents per mile, you should receive $362.50 per month in reimbursement.
